Cycle Track Challenge Terms and Conditions

General

These rules (the “Rules”) apply to the Cycle Track Challenge, and by registering for this event you agree to comply with them.  Please check this page from time to time, as we may occasionally amend these Rules and any changes will be binding on all participants and supporters.

The Cycle Track Challenge is organised by Cherry Trees (a registered charity in England and Wales (800222), and Jigsaw Trust (a registered charity in England and Wales 1075464).

Rules

  1. No motorised or power assisted bicycles, including but not limited to EU legal e-bikes are permitted at any event without specific permission prior to entry.
  2. No headphones when cycling or around the track are allowed.
  3. No time trial bikes, fixed gear bikes or aerobars.
  4. It is not a race, the aim is to enjoy the ride and raise money for local charities.
  5. We apply a “NO HELMET, NO RIDE” policy. All participants must wear helmets.  Riders will be turned back at the start if they are not correctly wearing a proper cycle helmet.
  6. No children under the age of 9 months will be allowed onto the track unless they are secured in a proper cycle seat. If you have agreed to supervise a younger rider, they are entirely your responsibility.  Do not ride off ahead and leave them.  For guidance on this please see https://www.cyclinguk.org/guide/guide-to-child-bike-seats
  7. Be considerate of other riders and keep your distance from the bike in front. The participant is fully responsible for their actions whilst attending the event.  This includes the event centre and during the ride itself.  CT and JT do not accept responsibility for the actions of the participant nor the consequences of such actions.
  8. Please do not drop litter or ride over the grass verges
  9. Riders must obey all instructions given by the Route Marshals.
  10. If your bike breaks down, or if you want to pack up, stay with your bike by the side of the road until a marshal arrives.
  11. Do not approach any aircraft on Dunsfold Park.

 

Registration

  1. The cycle track Challenge is a fundraising event open to UK residents. Any child under the age of 13 must be accompanied by an adult.  . 
  2. Cancellations are non-refundable.
  3. Only registered participants are eligible to take part in the Challenge.
  4. The event registration form must be completed by a person aged 18 or over.
  5. Following your registration we will send you information about the Challenge and suggested ways to help with your fundraising.

 

 

Sponsorship Money and Donations

  1. By signing up to the Cycle Track Challenge you agree to raise the required sponsorship of £15 for a solo cyclist and £25 for a family.
  2. Any monies raised in connection with the Cycle Track Challenge are held on trust for Cherry Trees and Jigsaw Trust and therefore all participants have a legal responsibility to ensure that all sponsorship monies/donations received in connection with this Challenge are paid via this website or on the day. Money pledged via online fundraising pages is collected automatically.   Cheques should be made payable to "Cherry Trees” and sent to

  1. Please ensure that all sponsorship forms are filled out in full and are returned to us to enable Gift Aid to be claimed where possible.
  2. All monies raised from the event will be shared equally between Cherry Trees and Jigsaw Trust after expenses have been deducted.

 

Use of Personal Data

  1. By providing personal data when you register for the Cycle Track Challenge, you confirm that you consent to such data being used by Cherry Trees and Jigsaw Trust for the purposes of organising and administering the Cycle Track Challenge and you agree that we can use the details that you provided to discuss your fundraising activity and follow up on your progress. If you provide personal data on behalf of additional entrants, you also confirm that you have obtained their consent for such data to be used for the same purposes.
  2. Your personal information may also be used for the purposes of sending communications to you where you have confirmed that you would like to receive further information about the charities’ work when registering for Cycle Track Challenge.

Content

By posting any content (e.g. photos and videos) on the Cherry Trees and Jigsaw Trust websites or social media forums (“Services”), you give Cherry Trees and Jigsaw Trust a non-exclusive, transferable, royalty-free worldwide right to use and reproduce that content and you, on behalf of yourself and any copyright owner, waive your and their moral rights in that content in favour of Cherry Trees and Jigsaw Trust.

 

Health and Safety and Medical

  1. The Event is a non-competitive event and not registered with any sports body.
  2. Participants are responsible for ensuring that they are wearing appropriate attire (including footwear) when taking part in an Event, taking into account the nature of the Event, the weather forecast and the terrain involved.

 

  1. Participants are responsible for ensuring that they are sufficiently fit and healthy to take part in the Event. Anyone unsure of their physical ability to take part in the Event must therefore seek medical advice from a General Practitioner prior to the Event. It is recommended that pregnant women should consult their General Practitioner before taking part in the Event.
  2. Notwithstanding rule 3 above, we reserve the right to refuse entry to the Event in our absolute discretion, if for whatever reason we consider a person unfit to take part. We may also ask you to withdraw during the Event if we have concerns about your ability to complete it due to fitness, injury or otherwise. If you choose to continue you do so with the understanding that you are no longer considered a participant of the Event and that you absolve us of all and any responsibility, and progress entirely at your own risk.
  3. The participant confirms that the bike they are riding for the event and all of their equipment are of a suitable standard and state of road worthiness.
  4. We take all reasonable steps to minimise the risk of injury to participants during fundraising events. There is a stringent risk assessment process in place for the Event which aims to minimise or eliminate the risk to everyone taking part. By taking part in the Event, you acknowledge that there may be conditions or circumstances beyond our control that can lead to unforeseen risks. If you have any concerns or queries please contact us before agreeing to take part in the Event.
  5. By taking part in the Event, you consent to receiving medical treatment administered by medically qualified personnel during the Event if required in any circumstances where you are unconscious or otherwise incapable of making a decision regarding medical treatment.
  6. Each participant will be fully responsible for any fees or costs incurred or arising from an accident either involving or caused by the rider. This includes, but is not exclusive to, fees from Police, Air Ambulance, Fire and Rescue and the Ambulance service in and outside the UK.
  7. Under no circumstances are you permitted to drink alcohol or be under the influence of drugs while attending the Event. Cherry Trees and Jigsaw Trust reserve the right to refuse entry to anyone suspected of being under the influence.
